Google Apps Tip: Gmail Contacts

Gmail is more than just messages going back and forth - it's also about the people sending them. That's why today I'm choosing to show you the easiest ways to access your contact details and a users information such as their internal extension number.

Quick access to contact details

When you search for an email address through the infamous Google search bar, the search results will show you contact details in addition to that person's profile photo and the emails sent from and to them. From here, you can email the specific user, start a hangout with them, view their phone and more.



Please note this only works if you don't have the 'Preview Pane' (a preview pane is a way to read mail right next to your list of conversations using either a vertical or horizontal split, making mail reading faster and adding more context) lab enable.


People Widget contact details

Another easy way to access contact details and communicate with individual contacts is through the 'People Widget'. If you have it enabled in the settings page under the 'General' tab People Widget you should be able to see your contacts details when you go into an email/conversation including all of the below:
  • Information about your contact, which may include information such as their name, email address or occupation. This information comes from your account’s Contact Manager. 
  • Recent email your contact sent you 
  • Thumbnails of recent photos your contacts sent you 
  • Google Calendar events if your contact’s Calendar is shared with you 
  • Google documents shared with both you and the contact 


Hangouts to access contact details

We recently launched hangouts to all of our Gmail users which aside from allowing you all to chat with each other along with any other colleagues within the same domain gives you the ability to view a specific users contact details as well. Simply start typing a users name in the search box and access their contact details via the 'Contact info' icon when their profile loads.


Contacts page

Lastly to view all your contacts and their details or particular groups that you may have placed them into within Gmail go to the Contacts page. Here you will find the whole Peter Rowland Catering directory and all our users details. You may add them to the 'My Contact' list which will synchronise with you smart phone and tablet or create groups of contacts that you email regularly.
